INTRODUCTION
We take data protection extremely seriously. In this regard, we use the provisions of the General Data Protection Regulation or “GDPR” as our basis.
You can use an online payment application via the Library Website. This privacy statement relates to the processing and protection of your personal data within the context of your use of the online payment application.
By using the online payment application, you provide information that makes it possible to identify you as a person. This Privacy Statement provides detailed information on the way in which we process your personal data. We recommend that you read this document carefully.
Anyone using the online payment application accepts this Privacy Statement.
WHO IS THE CONTROLLER OF YOUR DATA?
The controller for the online payment application is the public library/municipality for which you want to pay your outstanding library costs (membership fee, fines, reservation costs, etc.).
You can contact the controller by way of the email address of the respective public library/municipality, which you can find on the Library Website.
WHICH DATA ARE COLLECTED?
You can only use the online payment application if you have a My Library profile. You will find all the information relating to your personal data processing and protection within the context of My Library in the Library Website Privacy Statement, which can be consulted in the footer of the Library Website.
The following (anonymous) data are provided to the payment platform from the Library Website by way of a secured link:
- payment transaction data: amount of the online payment transactions; and transaction ID.
The following data are stored in My Library:
- online payment history: the end user, costs paid, amount, date and ID of online payment transactions.
You directly enter a number of other data on the payment platform. Information in this regard is listed in the Privacy Statement available on the payment platform (see also under: “How do we process your data?”).
WHY ARE YOUR DATA STORED AND PROCESSED?
Your data are stored and processed for the purposes outlined below. Your personal data are never used for commercial purposes.
- Management purposes:
user management and to check and correct payment data for helpdesk purposes;
- Functional purposes:
payment transaction processing;
- Statistic purposes:
for the pseudonymised generation and viewing of usage-based reports and statistics.
HOW DO WE PROCESS YOUR DATA?
The online payment application uses the services of Worldline, within the context of a framework agreement concluded between the FPS BOSA (Federal Public Service Policy and Support) and Worldline. This means that Worldline is also involved as controller in this service provision. HOW LONG ARE YOUR DATA STORED?
Your online payment history is stored for a maximum of two years after the last time you used your My Library login. For the other personal data: see the Privacy Statement available on the payment platform (see also under: “How do we process your data?”).
HOW DO YOU ENFORCE YOUR RIGHTS?
You always have the right to do the following with the personal data that you have communicated (in accordance with the terms and conditions stated in the GDPR): request and view them (Article 15 of the GDPR), transmit them (Article
- 20 of the GDPR); within this context, you can obtain a full export of your personal data in a structured, commonly used and machine-readable format;
- change or complete them (or have someone do this for you) (Article 16 of the GDPR);
- erase them (or have someone do this for you) (Article 17 of the GDPR).
This can be done for one or more of the above-mentioned purposes. You can also request that you be completely removed from all databases. You will then be “forgotten” and no longer be contacted in any manner whatsoever.
In addition, you always have the right to
- request that the processing be restricted (Article 18 of the GDPR);
- object to the processing (Article 21 of the GDPR).
You can exercise your rights by simply emailing a request to the email address of the respective public library/municipality, which you will also find on the Library Website. In this regard, however, we do request you to prove your identity by way of a copy of (the front and back of) your identity card.
Always state the following in your request:
- first name and surname of the person that you want to remove or change;
- email address of the person that you want to remove or change;
- which personal data exactly you want to view or request;
- which changes exactly you want to make or which data exactly you want to remove;
- where appropriate, which restriction you request of the processing;
- where appropriate: the content of your objection and the consequence you wish to attach to it.
You will be provided with information regarding the consequence that has been afforded to your request within one month after the latter has been received (unless such period is extended, in accordance with Article 12 of the GDPR).
DATA SECURITY
Appropriate technical and organisational security measures are taken to protect and to guarantee the reliability, availability and integrity of your personal data.
Anyone who is authorised to have access to your personal data on behalf of your public library/municipality or its processors has been adequately informed on the importance of protecting personal data and privacy and as obliged to keep such information confidential.
IF ANYTHING GOES WRONG ...
We treat your personal data as carefully as possible and store them securely.
If your personal data are spread due to data theft or data leaks, such fact cannot lead to claims against us for claims for damages unless it is established that we defaulted in providing an adequate level of security.
COMPLAINTS
If, despite our preventive measures, you still have any complaints about our use of your personal data, please contact your public library/municipality by way of the email address that you will find on the Library Website.

CHANGES
This Privacy Statement may be changed. We will adjust the rules, terms and conditions to protect your privacy as well as possible and to transparently deal with your personal data. So, view it regularly. The most recent adjustment dates back to 12 May 2020.
